Welcome to Xperience Black Travel, LLC! By booking a tour with us, you agree to the following Terms and Conditions. Please read carefully.

Booking and Payment

A non-refundable deposit of $250 is required to confirm your booking. Full payment must be made by 60 days prior to the tour's start date.

Payment can be made via: credit card, wire transfer, or cashier’s check.

Failure to make full payment by the due date may result in the cancellation of your booking.

Cancellation and Refund Policy
-
Cancellations must be made in writing to info@xperienceblack.com. You have 24 hours from the time of booking to cancel a trip for a full refund. ALL REFUNDS ARE SUBJECT TO A 2.9% PROCESSING FEE. In other words, if you request refund of a deposit or payment, your refund will be minus a 2.9% processing fee.

We highly recommend you purchase a comprehensive travel insurance policy that includes trip cancellation coverage within 3 days after booking that includes a “Cancel for Any Reason” option to cover the non-refundable portions of your trip. Trip cancellation insurance is the only means of receiving reimbursement for flights and other non-refundable expenses should you cancel your trip for any reason, whether voluntary or as a result of Xperience Black Travel’s actions.

If you cancel:

75% refund if cancelled more than 90 days before the tour.
50% refund if cancelled between (60 – 89) days before the tour.
No refund if cancelled within 59 days of the tour.

Xperience Black Travel reserves the right to cancel tours due to unforeseen circumstances. If a reservation is cancelled by Xperience Black Travel prior to commencement of the trip, Xperience Black Travel shall have no responsibility beyond issuance of credit for the monies paid related to the trip that was cancelled.

Changes to Itinerary

Xperience Black Travel reserves the right to make changes to the itinerary due to weather conditions, safety concerns, or other reasons beyond our control.

Any changes will be communicated as soon as possible.

Payment Terms
-
Payment Plans: As a courtesy, we offer payment plans for our trips. There is a one-time administration fee for this service; added at checkout. Your monthly payments start the following month after booking on the same day you paid your deposit. You may contact us to modify your payment dates or plan.

Missed Payments: Once you miss two monthly payments your trip is subject to cancellation. Once your trip is canceled you will be notified via your email on file and we will also call you. You may reinstate your trip within 14 days of cancellation by paying the full amount past due and a $200 reinstatement fee.

Final Payment Date: Trips must be paid in full 90 days prior to the trip. If full payment is not received by that date Xperience Black Travel reserves the right to cancel the trip.

Transfer Policy: You can transfer your trip to another traeler by notifying us via emal. There is a one-time transfer fee of $150.

Booking Pricing & Availability: Tour pricing fluctuates and at any time prior to a confirmed reservation the tour price may be increased or decreased without warning. Once a tour is confirmed the price is locked in and will not increase unless the offering is no longer available. Occasionally we offer discounted pricing based on inventory which is not retroactive to previous purchased bookings. Any changes in occupancy done post-booking will be done at the current pricing available.

Travel Insurance

It is required that all participants purchase comprehensive travel insurance covering personal injury, medical expenses, medical repatriation, trip cancellation, trip delay, and lost luggage. Personal medical insurance does not normally provide sufficient cover and is generally not suitable for travel on our tours. You will not be able to join your tour if you have not provided us with details of your insurance or if you arrive without coverage in place (no refunds will be due in this event).

IMPORTANT: We must have your travel insurance details (policy number and type of insurance) before you depart or you may not be allowed to join the tour. If you haven't told us already, please let us know the details when you can. You should take a paper copy of your insurance policy with you as you may be asked to show this at the start of the tour.

Health and Fitness

Participants must be in good health and able to participate in the physical activities involved in the tour. The tour will involve moderate walking over uneven surfaces at times.

You are responsible for informing us of any medical conditions or dietary restrictions in advance.

Liability

Xperience Black Travel will not be held liable for any injury, loss, damage, delay, or additional expenses incurred during the tour due to circumstances beyond our control, including but not limited to acts of nature, strikes, or accidents.

By booking with us, you accept that participation in any tour activities is voluntary and at your own risk.

Behavior and Conduct

All participants are expected to behave respectfully toward the group and local communities. Xperience Black Travel reserves the right to remove any participant from the tour for inappropriate behavior without a refund.

Photographs and Marketing

Photography and video of the trip activity are taken throughout the experience and shared with clients post-trip. By participating on this trip or at this event you are giving Xperience Black Travel; its representatives and employees the right to use photographs, video, and testimony given by you during any Xperience Black Travel “Trip, “Tour”, “Experience”, or “Event”. Xperience Black Travel will not disclose your name online or in printed media without expressed written consent,
